Your team & app access
Schedule your team without requiring everyone to use the app.
A person can be scheduled in SkedSERVICE without having an account, accepting an invitation, or logging in.
The owner or administrator can represent that person as a Resource, assign the Roles they can fulfil, and configure their availability. Linking that Resource to a staff member with app access is optional.
This lets your business choose who uses the software while still including the whole team in its scheduling.
Being bookable and having app access are separate
SkedSERVICE uses Resources to represent the people, rooms and equipment needed to deliver your Services.
A Resource representing a person describes their participation in scheduled work. A staff account provides access to the app. Creating a schedulable Resource does not require creating an account for that person.
| Concept | What it means |
|---|---|
| Resource | The actual person, room or equipment that can be assigned to work. |
| Role | The kind of requirement a Resource can satisfy, such as Stylist or Treatment Room. |
| Staff access | The person’s access to use SkedSERVICE. |
| Optional link | The association between a Resource and an existing staff member with app access. |
Scheduling Roles describe what the work needs. They should not be confused with permissions to use the app.
Example: make Mary bookable as a stylist
Suppose Mary works in your salon, but you handle the bookings yourself.
- Create a Resource named Mary.
- Assign the Stylist Role to that Resource.
- Configure Mary’s availability.
- Use the Stylist Role in the Tasks that need a stylist.
Once the necessary scheduling configuration is complete, Mary can be considered for work that requires a Stylist. She does not need to accept an invitation or log in before the scheduling engine can use that Resource.
SkedSERVICE still checks the other requirements of the Service. If the work needs a styling chair or wash station as well, Mary’s availability alone is not enough to make the appointment bookable.
See Roles & Resource matching for how suitable Resources are selected.
Let the owner or receptionist manage the schedule
Your business can use SkedSERVICE even when the people performing the Services never use the app themselves.
For example, an owner or receptionist with the appropriate access can manage appointments for several stylists, therapists or groomers. Each person is represented in the scheduling configuration, alongside any rooms or equipment their work requires.
An invitation or login is not a condition for those people to be bookable.
Connect staff access when it is useful
If a person also needs to use SkedSERVICE, their Resource can be linked to an existing staff member with app access.
That link is optional. A Resource can continue to be used for scheduling without it. Creating a Resource for someone does not, by itself, grant that person access to the business.
This supports both businesses where one person coordinates the schedule and businesses where staff members also use the app.
Staff can belong to several businesses
The same staff member can participate in more than one business, with availability configured separately for each business.
For an explanation of that arrangement and how billing works, see Multiple businesses & locations.
Customers book a Service and an available time
Customers do not need to understand the distinction between Resources and staff accounts.
They choose a Service and an available time. Behind that time, SkedSERVICE evaluates the people and physical Resources required by the Service’s Tasks.
Your team can therefore participate in the schedule whether the app is used by one coordinator or by several staff members.
